We’re excited to share our newest case study showcasing how Step 7 Consulting helped a premium carpet cleaning and home services business activate customer data to drive recurring revenue—without adding operational overhead.
Using Zapier, Housecall Pro APIs, OpenAI, and Google Sheets, we designed and delivered a scalable automation architecture that eliminated hours of weekly manual work while enabling consistent, revenue-driving marketing campaigns.
The Challenge
The business had a clear revenue opportunity: re-engage existing customers who hadn’t scheduled service in 90 or 180 days, and activate customers with unused or expiring service plans.
But executing on this strategy was blocked by operational constraints:
- Housecall Pro didn’t expose the required customer and job data through native Zapier actions
- Manually generating campaign-ready customer lists would consume ~two hours every week
- Service plan data was buried in unstructured job line items—not easily accessible via the API
- The marketing agency needed clean, formatted files delivered consistently to HighLevel
In short, the data existed—but without automation infrastructure, it couldn’t be activated reliably.
Our Solution
Step 7 designed a webhook-driven data architecture that treated Zapier not as a simple integration tool, but as a lightweight data platform capable of supporting complex, production-grade workflows.
At the core of the solution was a continuous data ingestion pipeline that:
- Captured all customer and job events via Housecall Pro webhooks
- Maintained a centralized, real-time data store in Zapier Tables
- Derived critical fields like “Last Visit Date” that didn’t exist natively in Housecall Pro
- Used OpenAI to extract service plan dates from unstructured job line items
- Generated campaign-ready customer lists automatically—with zero manual intervention
Why This Architecture Matters
Most businesses treat Zapier as a point-to-point integration layer. We approached it as an engineering discipline, applying the same rigor you’d expect from a custom software platform:
- A single, 38-action Zap handles all webhook processing, normalizing and validating every payload
- Conditional logic and early exits minimize Zapier task consumption (most executions use only 1 task, even for complex workflows)
- AI is applied selectively—only where the ROI is clear and alternatives aren’t viable
- The entire system is designed to scale with customer volume without performance degradation
The Results
- Weekly and monthly campaign files now generate and deliver automatically
- Eliminated ~two human hours of data wrangling every week
- Enabled the business to leverage existing customer data to generate revenue
- Revenue-driving campaigns execute on schedule—regardless of staff availability
- The automation scales smoothly as the customer base grows
This is what compound automation looks like: workflows that deliver value continuously, without requiring ongoing attention.
Why This Matters for Mid-Market Service Businesses
Many service businesses sit on years of valuable customer data but lack the infrastructure to use it strategically.
This case study demonstrates how Step 7:
- Designs automation architectures using APIs, webhooks, and data engineering principles
- Uses AI where it creates measurable value—not for its own sake
- Treats low-code platforms with software engineering discipline
- Enables revenue growth without increasing headcount or operational complexity
